Summary:
The Sales Team Assistant plays a crucial role in supporting the Sales Team by providing excellent customer service and assisting with the efficient processing of orders, shipments, and customer interactions. This role involves managing sample inventory and ensuring the smooth flow of operations within the Sales Department.
Reports to: Export Specialist/CSR
Classification: Full-time, Non-Exempt
Compensation: $22-$25
You will:
- Develop strong relationships with customers by offering exceptional service, ensuring their needs are met, and fostering trust and satisfaction throughout their interactions.
- Accurately input, track, and manage Private Label and Export orders from receipt through to delivery, ensuring all necessary documentation and compliance requirements are met.
- Proactively reach out to customers to confirm the status of their orders and ensure they are picked up or delivered within agreed timelines. Resolve any issues that arise during the process.
- Provide administrative support to the Export Specialist and Key Account Specialist by handling routine tasks, preparing materials, and managing customer inquiries.
- Carefully package samples for customers, ensuring proper labeling, documentation, and compliance with shipping standards, while maintaining a quick turnaround time.
- Track, manage, and organize sample stock to ensure that items are available for customer requests. Keep records of samples shipped and received, and reorder when necessary.
- Perform various tasks, such as picking up supplies, mailing packages, or other logistical tasks needed to support the Sales Team’s operations.
- Keep accurate and organized records of ongoing projects, customer communications, and order histories to ensure easy access and reference for team members.
- Offer administrative and operational support to the sales team by assisting with daily tasks, preparing reports, scheduling meetings, and addressing any ad-hoc requests.
- Perform other duties as assigned
You Have:
- Demonstrated expertise in using Microsoft Office applications, particularly Outlook for email communication, Excel for data management and reporting, and Word for creating professional documents and correspondence.
- Strong verbal communication and interpersonal skills
- Strong organizational skills with a keen eye for accuracy in all tasks, including order processing, inventory management, and document handling, ensuring no detail is overlooked.
- Skilled at balancing multiple tasks simultaneously in a fast-paced environment, prioritizing effectively to meet deadlines while maintaining high-quality standards across various duties.
- Physically capable of lifting up to 40 pounds
- Must have a valid California Driver’s License
