The Admin Hospitality, reservations and Concierge is responsible for reservations, tock platform, invoicing... providing a warm and inviting greeting to each visitor at Artesa and for ensuring that our guests understand our wine service, our floor plan, and any other information which will enhance their visit. The Concierge will guide our visitors to a designated table and to a VC Host to conduct their tasting. This position reports to the Tasting Room Manager and the Director of Hospitality.
Working days: Monday, Tuesday, Friday, Saturday and Sunday
Essential Job Responsibilities:
· Greet individual visitors at Artesa’s front entrance and check them in for their scheduled reservation. The concierge advises the guest of the day’s wine tasting options, as well as any cheese or tapas plates available for purchase.
· Answer customer inquiries about the history of Artesa, our wines, our Wine Club, our retail products, or other Wine Country attractions (such as local restaurants, hotels, other places to visit).
- Customer service and shipping: Upload shipping orders from the Tasting Room, track and provide excellent communication with the customer on any delays, charges, or issues with their shipment.
- Reservations: Working with Tasting Room Manager to schedule all visitors from each department including, but not limited to Wine Club, VIP, Destination Management Companies, and private groups as well as visitors from the public. This includes talking with the visitors about the experience they would like to have during their visit to determine which program is best suited for the group. Recommend programs based on their desired experience and up sell to those recognized as potential. Gather customer information including credit card to secure the visit, email, and phone number. Review with the visitor what they can expect to experience during their visit and send email confirmation to all involved with the visit. Add the reservation to Tock website. Reconfirm all group visits 48 hours in advance of their appointment. Keep the Visitor Center Calendar continually updated.
- Wine Club: Take care of the needs of Wine Club members for all visits including casual visits and large groups, as well as the anniversary rewards program. Input reservations for Specialty Programs directly into Tock for the food and wine experiences. Add reservation info to Tock website and send confirmation via email.
- Update/manage programs and descriptions available on Tock.
- Field phone calls and e-mails in a very timely manner.
Additional Job Responsibilities:
- Responsible for clearing signs, extra or used wine glasses, and debris from the foyer table during the day.
- Serve as cashier, when necessary.
- Maintain a clean, well-organized workspace.
- Abide by all safety and office policies established by the Company.
- At the end of the day, once last remaining guests have exited, ensure the front reception/lobby area double doors are locked and bolted close.
- Keep daily communication with Visitors Center regarding any changes and/or updates to the scheduled visitors. Follow up on any late groups, no shows, declined payments, etc.
- Assist Visitor Center staff with preparation for specialty programs
- Greet customers at the concierge desk and seeing them to their table, if needed
- Responsible for presenting a professional, polite and pleasant demeanor at all times and under all circumstances.
